Health and Safety Policy

Effective date: 17 June 2026

This policy applies to all members, guests, contractors, and visitors at Ideas House, Off Kabarsiran Avenue, Lavington, Nairobi. It is maintained in accordance with the Occupational Safety and Health Act, 2007 (OSHA) of Kenya.

Our commitment

Saracen Marketing Group Limited is committed to providing a safe and healthy environment for everyone who uses Ideas House. We will identify and manage hazards, maintain safe equipment and premises, and ensure everyone on site knows what to do in an emergency. We review this policy annually and after any significant incident.

The day-to-day responsibility for health and safety sits with the Space Manager. All members share a responsibility to take reasonable care of their own health and safety and that of others around them, and to report hazards or concerns immediately.

Fire evacuation

Familiarise yourself with the fire exits and assembly point before you begin working. Fire exit signs are displayed throughout the building. The assembly point is the open area at the front gate on Kabarsiran Avenue.

On hearing the fire alarm, stop all activity immediately. Do not collect belongings.

Leave through the nearest fire exit, following the green exit signs. Do not use the lift. Keep stairwells clear.

Proceed to the assembly point at the front gate. Do not re-enter the building under any circumstances until the all-clear is given by staff or the fire service.

If you are aware of any person who cannot evacuate unaided, notify a member of staff immediately.

If you discover a fire: Activate the nearest fire alarm call point (red break-glass units on each floor), call 999, and evacuate. Only attempt to use a fire extinguisher if you have been trained and it is safe to do so without putting yourself at risk.

First aid

A first aid kit is kept at reception. At least one trained first aider is on the premises during all operating hours. Their name and contact details are posted at reception.

If someone is injured or falls ill: ensure the scene is safe, call for the first aider or call 999 if the situation is serious, and do not move an injured person unless they are in immediate danger. Document all incidents, however minor, in the accident book held at reception.

Electrical safety

  • Do not bring portable electrical appliances onto the premises without prior approval from staff. All electrical equipment used on site must be in good condition and, where applicable, PAT tested.
  • Do not overload sockets or use damaged cables and plugs. Report any damaged electrical fittings to staff immediately.
  • Do not tamper with the building's electrical installations, distribution boards, or light fittings.

Slips, trips, and manual handling

  • Keep walkways, corridors, and fire exits clear of bags, cables, and equipment at all times.
  • Report any spills, wet floors, damaged flooring, or loose fittings to staff so that hazards can be corrected promptly.
  • When moving furniture or heavy items, use proper lifting technique (bend knees, keep back straight) and ask for help with anything that requires more than one person to move safely.

Security

  • Do not allow unknown persons to follow you through access-controlled doors. Direct all visitors to sign in at reception.
  • Do not leave valuables unattended in common areas. Jikoni is not responsible for theft or loss of personal property.
  • If you observe suspicious behaviour or feel unsafe, contact a staff member immediately or call 999 in an emergency.
  • CCTV operates in common areas and entrances. Footage is retained for 30 days and may be reviewed in the event of a security incident.

Infectious illness

If you are experiencing symptoms of a contagious illness (fever, persistent cough, vomiting, or similar), please do not come into the space. Cancel or reschedule your booking by contacting us. In the event of a declared public health emergency or directive from the Ministry of Health, we will issue specific guidance and may adjust operating procedures or capacity limits accordingly.

Reporting hazards and incidents

Report any hazard, near-miss, injury, or concern to staff as soon as possible. All incidents must be recorded in the accident book at reception. Serious incidents involving injury or significant property damage will be reported to the Directorate of Occupational Safety and Health Services (DOSH) as required under OSHA 2007. Your cooperation with any investigation is expected.
